Summary

Overview: Connectors let Max use tools from an outside service, such as your Zoho CRM. You connect the service's MCP server address, sign in or add a key, and choose which of its tools Max may use. When you chat with Copilot, Max can then look things up in that service, and it asks for your approval before any tool makes a change there.

Prerequisites:

  • A store on the Launch, Grow, Scale or free trial plan.
  • An account with the outside service, and its MCP server address (it starts with https://).
  • For services other than Zoho: the key the server needs, if any (a bearer token, an API key header, or a username and password).

Step-by-Step Instructions

Step 1: Open Connectors

  1. In the sidebar, click Max AI, then AI Studio.
  2. Click Connectors.

The top of the tab shows how many tools are switched on (out of 40) and how many connectors you have (out of 10).

Step 2: Add a connector

To connect Zoho:

  1. Click the Zoho tile. The Connect Zoho form opens with the steps to follow:
    1. Sign in to Zoho and open mcp.zoho.com/mcp-client (use your region, such as .in, .eu, .com.au or .jp, if your account is there).
    2. Pick a ready-made MCP server, or press Create MCP Server and add the tools you want. Start with tools that only read.
    3. Choose that server in the drop-down at the top left, then open its Connect tab.
    4. Copy the server URL.
  2. Name is filled in as Zoho CRM. Change it if you like (up to 60 characters).
  3. Paste the URL into Zoho MCP server URL. It starts with https://, has zohomcp.com in it, and ends in /message.
  4. Click Save and test.

To connect any other MCP server:

  1. Click the Add connector tile (Any MCP server).
  2. Enter a Name and the Server address.
  3. Under Key, choose how the server signs you in: No key, Bearer token (enter the Token), API key header (enter the Header name and Key) or Username and password.
  4. Click Save and test.

Max saves the connector and tests it straight away. The connector then appears in the list, grouped under its service.

Step 3: Sign in (if the card asks)

If the card shows Needs sign-in:

  1. Click Sign in. You go to the service's own sign-in page.
  2. Sign in and approve Max AI. For Zoho, approve Max AI on Zoho's two pages.
  3. You come back to Connectors. You see Signed in to [name]. Switch on the tools Max AI may use.

Step 4: Choose which tools Max may use

All tools start switched off.

  1. On the connector's card, each tool shows a short description and a label:
    • Reads only: the server says this tool only looks things up.
    • Can make changes: the server says this tool can change or delete things in that service.
    • Not marked by the server: the server didn't say. Max treats it as one that might make changes.
  2. Switch on the tools you want Max to use. Your choice saves when you flip the switch.

Step 5: Use the connector in a chat

  1. Open the Max AI chat and choose Copilot. Connector tools work only with Copilot.
  2. Ask for something the connected service can answer, for example "Show me my newest leads in Zoho."
  3. Max calls the tool and tells you which service the answer came from.

Step 6: Approve changes Max proposes

Tools that can make changes (or aren't marked) never run on their own. Max shows an Approval needed card first:

  1. Read the question, for example Allow Zoho CRM to make this change?
  2. If the change covers several records, a table lists them, with one row per record and one column per field. When Max has read the records first, a changed value shows as current → new. If there are more than 5 rows, click Show all to see every one before you decide.
  3. Click Approve to run it, or Reject to cancel.

Max then tells you in the chat what happened.

Step 7: Keep a connector working, or remove it

On the connector's card:

  • Test connection: checks the server again. The card shows Last checked with the date and time.
  • Replace key: enter a new key, then click Save key and test. (Connectors that sign in, such as Zoho, have no key to replace.)
  • Reconnect: shows when a sign-in has expired. Click it and sign in again.
  • Remove: click Remove, then Remove again in the Remove [name]? window. Max stops using its tools from your next message, and the saved key is deleted. Click Keep it to cancel.

Use Filter by service and Filter by status above the list to find a connector.

Verify It Worked

Success criteria:

  • The connector's card shows Connected.
  • The tools you switched on are on, and the count at the top of the tab has gone up.
  • When you ask Copilot something the service can answer, Max answers and names the service.

Troubleshooting

Common errors

  • Card shows "Needs sign-in": click Sign in (or Reconnect) and sign in on the service's page.
  • Card shows "Needs attention": read the reason on the card. Check the address and key, then click Test connection.
  • "Sign-in was cancelled, or the service refused it. Try again from the connector.": click Sign in again and approve Max AI on the service's pages.
  • "Signed in to [name], but it did not connect. The card says why.": read the reason on the card, then click Test connection.
  • "The address must start with https://.": enter the full address, starting with https://.
  • "That server could not be found. Check the address.": check the address for typos.
  • "That address points inside a private network. Only public internet servers can be connected.": use the service's public MCP address.
  • "A store can have up to 10 connectors. Remove one to add another.": remove a connector you no longer use.
  • "Up to 40 tools can be switched on across all connectors. Switch one off first.": switch off a tool you don't need.
  • "This connector's saved details can no longer be read. Remove it and add it again.": remove the connector and add it again.
  • "This connector is renewing its sign-in. Try again in a moment.": wait a moment and try again.
  • "Connectors are not available right now. Try again in a minute.": try again shortly.
  • Max doesn't use my connector: make sure you're chatting with Copilot and that the tool is switched on.

Limitations & considerations

  • Connector tools work only with Copilot. The other agents don't use them yet.
  • Up to 10 connectors per store, and up to 40 tools switched on across all of them.
  • Max shows one approval card at a time.
  • Tool descriptions and labels come from the outside service, not from Prosperna.
  • Your saved key is never shown again. A card shows only the server's host and the last four characters of the key.
