Summary

Overview: Max is Prosperna's AI assistant. You chat with Max to answer questions about your store, build pages, improve product listings, write marketing content, check your numbers and write blog posts. Max uses your AI Credits as it works, and asks for your approval before it applies certain changes.

Prerequisites:

  • A store on the Launch, Grow, Scale or free trial plan.
  • AI Credits in your balance. See How to Buy AI Credits.
  • (Optional) To use Copywriter, the Blogs app activated in Marketplace.

Step-by-Step Instructions

Step 1: Open Max AI

  1. In the sidebar, click Max AI. It's the first item.
  2. The Max AI page opens. While you're on it, the sidebar shows:
    • Dashboard: takes you back to your dashboard.
    • AI Studio: Max's settings. See How to Use AI Studio.
    • Chat History: your past conversations with Max. The panel itself is headed Chats.

If the sidebar is collapsed, click the Chat History icon to expand it and see your conversations. The same panel stays in the sidebar while AI Studio is open, so you can pick up an old chat from there.

Step 2: Choose who to work with

When you open Max AI fresh, you see Hi, I'm Max and Choose who you want to work with to get started. Each card is a specialist. Click Start chatting on the one you want:

Card What it helps with Full guide
Copilot Anything about your store, from quick questions to bigger decisions. Copilot is also the only agent that can use your connected apps (see How to Connect Apps to Max AI). How to Use the Copilot Agent
Builder Creating, building and editing your store pages, and editing your menu and footer. How to Build Pages with Max AI
Merchandiser Your product catalog: finding products, stock and low-stock alerts, restocking, publishing or unpublishing in bulk, improving listings (descriptions, SEO, short promo video reels), and adding products from a CSV file you attach. How to Use the Merchandiser Agent
Marketing Email campaigns, social captions, content calendars, brand voice and turning existing content into new formats. It writes copy for you to review and publish. It never posts for you or connects to ad or social platforms. How to Use the Marketing Agent
Insights Your numbers: sales, new leads and customers, marketing channels, website traffic, and your most viewed products and blog posts. It can also set up scheduled reports. How to Use the Insights Agent
Copywriter Blog topic ideas, outlines and full blog posts. Only shows when the Blogs app is activated in Marketplace. How to Use the Copywriter Agent

Each agent shows a set of starter cards under Tools & Capabilities. A card fills the message box with a request (some open a picker, such as your products or Media Library). Change the text if you like, then press Enter. Or type your own message.

Step 3: Send a message

  1. Click the message box and type what you need. A message can be up to 5,000 characters.
  2. Press Enter or click the send button.
  3. Max shows its progress, then answers. To stop Max while it's answering, click the stop button.

Step 4: Switch agents

The agent's name appears on a button in the message box (for example Copilot). Click it to pick a different agent. Hover over the info icon next to an agent to read what it does.

You can't switch while Max is answering, or while a work panel (such as the page builder, blog writer or marketing panel) has open work.

Step 5: Attach files and mention your store's records

Click + in the message box:

  • Media Library: attach a file or image from your media library to the chat.
  • Mention: pick a type of record, then search for the one you want. Max reads the record you mention.

You can also type @ followed by the record type (for example @products or @template) to open the search directly.

What you can mention depends on the agent:

Agent You can mention
Copilot and Marketing Product, Blog, Order, Voucher, Page, Template
Builder Page, Template, Product
Merchandiser Product
Insights Product, Order
Copywriter Blog

Mention a template (Builder): Template lists the menus, footers and other templates in your Template Library. Max uses a mentioned template only as a reference to match its look. It doesn't open or change the template.

With Builder, the + menu also has Import (turn an HTML file from your media library into a page), Clone (rebuild a page from an https:// link) and New Blank Page (build a page by hand, no AI Credits used). These are unavailable while a page is open or still loading in the page builder. Publish, save or discard it first.

Step 6: Approve or decline changes Max proposes

For some actions, Max shows an approval card and waits for you before it makes the change. The card you need to answer is pinned just above the message box, so scrolling the conversation never loses it. Where Max asked, the chat keeps the line Waiting for your answer below. While a card is waiting, the message box says Approve or decline the change above to keep going. You can still read the conversation.

Every card is laid out the same way:

  1. A strip across the top says where it stands: Needs your approval while Max waits (in purple), then Applying, and afterwards You approved this, You approved part of this or You declined this.
  2. The question is the title, in plain words, for example Make this page your homepage?, Allow this app to make this change?, Add these products as drafts?, Send a cart reminder now? or Change 3 things on Home. If Max doesn't have a question for it, the card asks Go ahead with this?
  3. Under it, what the change covers: a table of records, or one line per page edit showing the old text and the new one.
  4. One line says what it means, for example Nothing changes until you approve. or Nothing is saved until you publish.
  5. Decline and Approve at the bottom.

What to click:

  • Record changes (a connected app, a product import, your homepage, a cart reminder): check any list of records the card shows, then click Approve or Decline. When a change covers more than 5 records, click Show all N to see every row before you decide, and Show fewer to close it again.
  • Page edits: each change is listed with a tick box, and all of them start ticked. Untick any you don't want. Approve then reads Approve all N or Approve N of N depending on what you kept, and it reads Pick a change (and does nothing) if you untick everything. Click Decline all to turn them all down. The card also tells you Max makes more page edits once you answer.
  • Going back to an earlier page version: click Go back to revert, or Decline to keep the version you have.
  • Cart reminder emails: the button reads Send now and asks a second time (Yes, send it), because This can't be undone once it is sent.

With the keyboard, Enter approves and Esc declines, as long as you're not typing in a box. When the page preview is open the chat column is narrow, so the card folds to a single line with a Review button that opens the details.

Once you answer, the card leaves the message box and the chat keeps the record, for example You approved · Make this page your homepage? · 10:42.

Step 7: Start a new chat or go back to an old one

  • Start a new chat: at the top of Chats, click + (New Chat), then click Confirm in the New Chat? window. You see Started a new chat. Your previous conversation stays in the list. New Chat is greyed out until the current chat has at least one message.
  • Switch conversations: click a conversation in Chats to open it. Scroll down to load older conversations.
  • Find a chat: type in the Search chats box above the list. It filters the conversations already loaded by their title. If none match, you see No chats match your search; scroll the list down first to load more, then search again.
  • Read the list: conversations are grouped under Today, Yesterday, Previous 7 days and Older, and the most recently used chat is at the top. A chat moves back to Today as soon as you send a message in it. Groups with nothing in them aren't shown.
  • From AI Studio: the same list is in the sidebar while AI Studio is open. Clicking a conversation leaves AI Studio and opens that chat; + starts a fresh one.

Step 8: Delete a conversation

  1. In Chats, hover over the conversation and click the three-dot menu (Conversation options).
  2. Click Delete.
  3. In the Delete conversation? window, click Delete. You see Conversation deleted.

Deleting can't be undone. You can't delete the conversation you're in. Open another conversation or start a new chat first. Deleting is only available in the Max AI chat, not from the list shown while AI Studio is open.

Step 9: Rate Max's answers

  1. Under an answer from Max, click the thumbs-up (Like this response) or thumbs-down (Dislike this response) button.
  2. A window opens: Give positive feedback or Give negative feedback.
    • For negative feedback, you can pick an issue under What type of issue do you wish to report? (optional), for example Incomplete response or Not factually correct.
    • Add details under Please provide details: (optional).
  3. Click Submit to send your rating, or Cancel to close the window without rating.

To remove your rating, click the same thumb again.

Step 10: Watch Max feature pop-ups on other pages

When you open some dashboard pages, a pop-up shows a short video of what Max can do there:

Page Pop-up title
Page Builder → All Pages Migrate Your Pages with MaxAI
Page Builder → Menu Builder (older stores only) Build Mega Menus with MaxAI
Marketing → Blogs Write Blogs with MaxAI
Orders Get Insights with MaxAI
Products → Inventory Manage Products with MaxAI
Media Library Edit Images with MaxAI
  1. Click the video to open Max AI in a new tab.
  2. To stop the pop-up from coming back on that page, tick Don't show this again.
  3. Click Got it to close the pop-up.

If you close the pop-up without ticking Don't show this again, it shows again the next time you open the page.

How Max uses your AI Credits

  • Max uses AI Credits for the work it does in a chat. How many depends on how much work the request takes, so the amount varies from message to message.
  • Some actions are free. Build it Yourself and New Blank Page let you build a page by hand without using AI Credits. Edit Menu and Footer opens your existing menu and footer without using credits.
  • If you run out, Max shows a message with Top Up Now. Click it to buy more credits. See How to Buy AI Credits.

Verify It Worked

Success criteria:

  • Max answers your message in the chat.
  • Your conversation appears at the top of Chats, under Today.
  • After you click Approve on a card, the card's strip reads You approved this, the chat keeps a line such as You approved · Change 3 things on Home · 10:42, and Max tells you what happened.
  • A deleted conversation no longer appears in Chats.

Troubleshooting

Common errors

  • "You can’t delete the conversation you’re currently in. Start a new chat first.": open another conversation or click New Chat, then delete it.
  • "Failed to delete conversation" or "Failed to start a new chat": try again. If it keeps failing, refresh the page.
  • "Max is currently responding in another browser tab. Please refresh this page to see the latest conversation.": click Refresh, or close the other tab.
  • A message about AI credits with a Top Up Now button (for example "You have no AI credits."): your balance is empty or too low. Click Top Up Now, or see How to Buy AI Credits.
  • I can't see Copywriter: activate the Blogs app in Marketplace, then reopen Max AI.
  • The agent button is greyed out: wait for Max to finish answering, or close the open work panel.
  • I can't type a message: answer the approval card above the message box first.
  • "Failed to submit feedback": your rating wasn't saved. The window stays open with what you wrote; click Submit again.
  • The list says "No chats yet": you haven't had a conversation with Max on this store yet. Send a message and the chat appears in the list.
  • Search doesn't find an old chat: the search box only looks at the conversations already loaded, and only at their titles. Scroll the list down to load more, then search again.
  • A Max pop-up keeps coming back on another browser or device: Don't show this again is remembered only in the browser where you ticked it. Tick it again in the other browser.

Limitations & considerations

  • Free stores can't open the dashboard, so they can't use Max AI.
  • Each message can be up to 5,000 characters.
  • Max shows one approval card at a time, pinned above the message box. If Max wants another change, it waits until you answer the first card.
  • Long conversations are optimized automatically. Click the session token usage icon in the message box to see how full the conversation is.
