Summary

Overview: Instead of adding products one at a time, you can fill in Prosperna's CSV template with many products and upload it in one go. Prosperna checks each row, imports the valid ones, creates any new categories you name, and gives you a list of the rows that failed and why. You can also export existing products, edit the file, and import it back to update them.

Prerequisites:

  • A store on the Launch, Grow, Scale or free trial plan.
  • Store owner access, or a team member with Create access to Products.
  • At least one store location. See How to Add Your Store Location.
  • Your product images uploaded to your Media Library. The import only accepts image links from your Media Library.
  • A spreadsheet app that can save a CSV file.

Step-by-Step Instructions

Step 1: Download the CSV template

  1. In the sidebar, click Products, then Inventory.
  2. Click Add Product, then Import Products. The Import Products window opens: You can import products into your store by using the Prosperna CSV template.
  3. Click Download CSV File Template.

Step 2: Fill in the template

  1. Open the template in your spreadsheet app.
  2. Keep the first 7 rows as they are. The import skips them, because they hold the column headings and examples. Start your products on row 8.
  3. Fill in one row per product. Keep the columns in the template's order:
Column What to enter
TYPE SINGLE_PRODUCT for a product without variants, VARIANT_PRODUCT for the main row of a product with variants, or VARIANT_COMBINATION for each variant (see Step 3)
Product Name* The product's name
Product Category* One or more categories, separated by a vertical bar, for example Tops | Sale. Categories that don't exist yet are created for you. Capitalisation doesn't matter when matching an existing category
Product Subcategory Optional. One or more subcategories, separated by a vertical bar. The product is only added to subcategories that already exist under its category, so create them first on the Categories page
Product Short Description* A short description
Product Long Description* The full description
Brand Name Optional
Product Featured Image* One image link copied from your Media Library
Product Slider Images Optional. Up to 4 more Media Library image links, separated by a vertical bar. Links that aren't from your Media Library are ignored
Variant Type 1 to Variant Type 6, Variant Option 1 to Variant Option 6 For products with variants only (see Step 3)
Product Size Unit* mm, cm, in or m
Product Width*, Product Height*, Product Length* Numbers
Product Weight Unit* g, kg, lb, ml, l or oz
Product Weight* A number
Regular Price* A number, up to 3,500,000
Sale Price Optional. Must be lower than the regular price
Store Name* The name of the store location to add the product to, typed exactly as it appears in your store locations
Stock Quantity* A whole number, or # to mark the product as always in stock
Product Status* TRUE or FALSE: whether the product should be published (capital letters don't matter)
Product SKU Optional. Letters and numbers only, no spaces. Each SKU must be unique in your store
Variant ID, Product ID Leave empty for new products. These are filled in when you export products (see Step 6)
  1. Save the file as a CSV file.

Step 3: Add products with variants (optional)

  1. Add one VARIANT_PRODUCT row for the product:
    • Fill in Variant Type 1 (for example Size) and Variant Option 1 with its options separated by a vertical bar (for example Small | Medium | Large). Use Variant Type 2 and onward for more variant types, without skipping a number.
    • Size, dimensions, weight, price and stock can be left empty on this row.
  2. Directly below it, add one VARIANT_COMBINATION row for each variant:
    • Enter a Product Name* for the variant, for example T-Shirt (Small).
    • In each Variant Option column, enter one option from the main row, for example Small.
    • Fill in the variant's size unit, dimensions, weight unit, weight, Regular Price*, Store Name*, Stock Quantity* and Product Status*.
    • Category, descriptions and images can be left empty on these rows.

Step 4: Upload the file

  1. On Inventory, click Add Product, then Import Products.
  2. Click Import / Update Products. The Upload Your CSV File window opens.
  3. Click Choose File and select your CSV file. To pick a different file, click the trash icon.
  4. Click Continue. The button shows Processing while Prosperna checks and imports your file. Keep the window open.

Step 5: Review the results

  1. A summary shows how many products were imported:
    • New Products: products added to your store.
    • Updated Products: existing products that were updated (see Step 6).
    • Existing Products and Total.
  2. If some rows failed, Failed to Import lists each one with its Row, Product Name and Errors.
    • Click Download CSV File Errors to download your file with the errors marked, so you can fix them. You see Successfully exported product import errors via CSV.
  3. Click Import (number) Products.
  4. The result window shows either:
    • Successfully Imported (number) Product/s: Check your inventory to view your imported product/s., or
    • Failed to Import (number) Product/s: ... product/s failed to be imported. Please check all the required fields in the CSV Template.
  5. Click Ok.

Your products are saved as soon as the file finishes processing in Step 4. Clicking Cancel on the summary doesn't undo the import.

To import the rows that failed, fix them and upload a file with only those rows. Don't upload the rows that already succeeded again, or you'll get duplicate products.

Step 6: Update existing products with a file (optional)

  1. On Inventory, tick the products you want to update, click More, then Export Products. The exported file uses the template's columns and has each product's Product ID filled in.
  2. Edit the rows you want to change. Keep the Product ID column as it is.
  3. Upload the file as in Step 4. The summary counts these rows under Updated Products.

Verify It Worked

Success criteria:

  • You see Successfully Imported (number) Product/s.
  • On Products → Inventory, your new products appear in the list. Sort by Date Created to find them quickly.
  • New categories from your file appear on Products → Categories.
  • On Inventory, choose the store location in the Store Location filter and check the Status column. Publish or unpublish products there if needed.

Troubleshooting

Common errors

These appear as a pop-up message:

  • "Failed to import products. The attached file is invalid.": the file isn't a CSV file, or it has no product rows after row 7. Save the file as CSV and check that your products start on row 8.
  • "File size too large. Maximum size is 10MB.": split your products into smaller files.

These appear in the Errors column of the summary:

  • "Invalid product import type value.": the TYPE column must be SINGLE_PRODUCT, VARIANT_PRODUCT or VARIANT_COMBINATION.
  • "Product name is required.", "Category is required.", "Short description is required.", "Long description is required.", "Product featured image is required.", "Store location is required.": fill in the required column.
  • "Product featured image link must come from media library.": upload the image to your Media Library and paste its link.
  • "Product featured image cannot be more than one.": put only one link in Product Featured Image*. Put the others in Product Slider Images.
  • "Multiple Product Slider Images were set apart by an incorrect separator.": separate slider image links with a vertical bar ( | ), not a comma.
  • "Invalid product size unit." or "Invalid product weight unit.": use one of the units listed in Step 2.
  • "Width must be a number.", "Height must be a number.", "Length must be a number.", "Weight must be a number.", "Regular price must be a number.", "Sale price must be a number.": enter numbers only, without currency symbols.
  • "Price amount limit reached.": the regular price is over 3,500,000.
  • "Sale price must be lower than the regular price.": lower the sale price or leave it empty.
  • "Store location not found.": the Store Name* doesn't match any of your store locations. Copy the name exactly, including capital letters.
  • "Stock quantity must be a whole number.": enter a whole number, or # for always in stock.
  • "Value must be either true or false only.": enter TRUE or FALSE in Product Status*.
  • "Invalid SKU format. Only accepts letters and numbers.": remove spaces, dashes and other symbols from the SKU.
  • "Product SKU already exists in the database." or "Product SKU already exists on the current file and same store location.": use a different SKU, or leave it empty.
  • "Invalid variant combination. Must follow a variant product, not a single product.": put VARIANT_COMBINATION rows directly below their VARIANT_PRODUCT row.
  • "Variant option for (variant type) is required." or "Invalid variant option (option). Please check available options.": each variant row needs one option from the main row for every variant type.
  • "Variant type (number) is required.": you skipped a variant type column. Fill them in order, starting with Variant Type 1.
  • "3 variant types limit reached. Try again.", "50 variant options limit reached. Try again." or "150 variant combinations limit reached. Try again.": you've gone over a variant limit for your plan (see below).
  • I can't see Download CSV File Template or Import Products: you need Create access to Products. If your store has no store location yet, you're asked to add one first.

Limitations & considerations

  • Only CSV files up to 10 MB are accepted.
  • Rows per file: up to 50 product rows on Launch and 100 on Grow, counting variant rows. Rows after the limit are skipped without an error. Scale and the free trial have no row limit.
  • Variants: up to 3 variant types and 150 variants per product on Launch and Grow; up to 6 variant types and unlimited variants on Scale and the free trial. Each variant type can have up to 50 options.
  • Published products are limited per store location: up to 50 on Launch and 100 on Grow. Scale and the free trial have no limit. Check the Status column after importing.
  • The import creates physical products only. Add digital products one at a time. See How to Sell Digital Products.
  • Each row without a Product ID creates a new product, even if a product with the same name already exists.
  • Updating products by import rewrites them from the file. Check updated products afterwards: their SEO settings are cleared, the Stock Quantity in the file is added to the current stock instead of replacing it, and their product page link may change.
