How to Export Your Products
| Feature Availability | User Permissions | Time to Complete | Skill Level |
|---|---|---|---|
| Philippine and US stores on Launch, Grow, Scale and the free trial | Store owner, or a team member with Products access (Edit, needed to tick products) | About 2 minutes | Beginner |
Summary
Overview: Export Products downloads the products you select as a CSV file you can open in a spreadsheet app. The file uses the same columns as the product import template, so you can keep a backup, review prices and stock, or edit products and import them back.
Prerequisites:
- A store on the Launch, Grow, Scale or free trial plan.
- Store owner access, or a team member with Products access (Edit).
- At least one physical product. Digital products aren't exported.
Step-by-Step Instructions
Step 1: Choose the products to export
- In the sidebar, click Products, then Inventory.
- To narrow the list first, use Search... or the filter panel (for example a Category or Store Location).
- Tick the products you want to export.
- The tick box in the table heading ticks every product on the current page.
- To export more products in one file, set Display : at the bottom of the table to 100 first. Your ticks are cleared when you move to another page.
Step 2: Export
- Click More, then Export Products.
- A file named Prosperna_Export_Products_ followed by today's date (for example Prosperna_Export_Products_10-10-2026.csv) downloads.
- You see Successfully exported products via CSV.
Step 3: Understand the file
The first 7 rows are the column headings and 6 example rows (a sample single product, a sample product with variants and its 3 variants, and a START BELOW row). Your products start on row 8.
Columns, in order: TYPE, Product Name*, Product Category*, Product Subcategory, Product Short Description*, Product Long Description*, Brand Name, Product Featured Image*, Product Slider Images, Variant Type 1 to Variant Type 6 with Variant Option 1 to Variant Option 6, Product Size Unit*, Product Width*, Product Height*, Product Length*, Product Weight Unit*, Product Weight*, Regular Price*, Sale Price, Store Name*, Stock Quantity*, Product Status*, Product SKU, Variant ID and Product ID.
How each product appears:
| Product | Rows in the file |
|---|---|
| A product without variants | One SINGLE_PRODUCT row per store location that carries it, with that location's Store Name and Stock Quantity |
| A product with variants | One VARIANT_PRODUCT row with the product's details, variant types and options (no price, size or stock), then one VARIANT_COMBINATION row per variant with its options, size, weight, prices, stock, SKU and Variant ID |
Other details:
- Several categories, options or images in one cell are separated by
|. - Product Featured Image and Product Slider Images are full web links to the images.
- Product Status is TRUE for a published product and FALSE for an unpublished one. Variant rows always show TRUE.
- Product ID identifies the product if you import the file again.
Step 4 (optional): Edit and import the file back
You can change the file and import it to update the same products. Before you do, read How to Import Products in Bulk, because:
- The Stock Quantity in the file is added to the current stock. It doesn't replace it. Importing an unchanged export doubles the stock. Clear or change the stock numbers first.
- Products marked Always in Stock are exported with a number, not as always in stock.
Verify It Worked
Success criteria:
- You see Successfully exported products via CSV.
- A Prosperna_Export_Products_ file is in your downloads.
- Opened in a spreadsheet app, the file lists your products from row 8.
Troubleshooting
Common errors
- I can't see Export Products under More: your store isn't on a paid plan or the free trial.
- I can't see More, or I can't tick products: More appears only after you tick at least one product, and ticking needs Edit access to Products. Ask the store owner.
- Some products are missing from the file: digital products aren't exported. Also check that you ticked them on the page you exported from.
- A product appears on several rows: a product without variants gets one row per store location.
Limitations & considerations
- Only the products you tick are exported, up to one page of the list (at most 100) at a time.
- Digital products aren't included.
- The Product Subcategory column is left empty.
- For a product with variants, the Store Name shown is the first store location that carries it.
- Export doesn't include SEO details, add-ons, wholesale prices or product labels.
