Summary
Overview: The Dashboard gives you a quick snapshot of your business: sales, orders, unfulfilled orders, sales by channel, your top-selling products and, once you add it, your website traffic. Pick a date range, compare it with the period before, and export the figures as a CSV file. Scheduled reports from Max AI arrive in your notifications and by email.
Prerequisites:
- A store on Launch, Grow, Scale or the free trial.
- Store owner access, or a team member with Reports switched on. See How to Set Team Member Permissions.
- To add Website Traffic: the Cookie Policy switched on in Design Settings.
Step-by-Step Instructions
Step 1: Open the Dashboard
In the sidebar, click Dashboard. The info icon next to the title reads: View a quick snapshot of your business performance–track sales, top-selling products, website visitor trends, and key reports all in one place.
Step 2: Choose a date range
The Dashboard opens on This Week. Every card on the page follows the range you pick.
- Quick filters: Today, This Week, This Month.
- Date picker: click the calendar button, then choose All, Yesterday, Last 7 Days, Last 30 Days or Current Year, or click a start date and an end date in the calendar. Click Apply (or Cancel). You can't pick a date after today.
| Range | Covers |
|---|---|
| Today | Today so far |
| Yesterday | All of yesterday |
| This Week | Monday of this week up to today |
| This Month | The 1st of this month up to today |
| Last 7 Days | Today and the 6 days before it (a rolling window) |
| Last 30 Days | Today and the 29 days before it |
| Current Year | January 1 of this year up to today |
| All | January 1 five years ago up to today (shown as All Time on the cards) |
Step 3: Read the Sales, Orders and Unfulfilled Orders cards
| Card | What it shows |
|---|---|
| Sales | The total amount of the orders placed in the range. Each order counts at its full order total, including shipping fees, additional fees and tax. Every order counts, whatever its payment status, except orders that were deleted |
| Orders | The number of orders placed in the range |
| Unfulfilled Orders | The number of orders placed in the range whose order status isn't Completed |
The percentage badge compares the range with the period of the same length just before it. For example, Last 7 Days is compared with the 7 days before that.
- Green with an up arrow: higher than the previous period. Red with a down arrow: lower. Grey: no change.
- If the previous period had nothing and this one has something, the badge shows 100%.
- Very large increases show as 500%+. Hover over the badge to see the exact figure.
The small chart on each card groups the figures by:
- Today: 4-hour blocks (12 AM - 4 AM, 4 AM - 8 AM and so on).
- This Week: day of the week, Monday to Sunday.
- This Month: week of the month. Week 4 runs from the 22nd to the end of the month.
- Current Year: month. All: year.
- Other ranges: day.
Click View on a card to open the Reports page.
Step 4: Read the sales charts
- Daily Gross Sales: a line chart of sales per day for Prosperna (your online store). Grow and Scale stores with Shopee or Lazada connected also see a line for each.
- Total Sales: a donut chart that splits sales by sales channel, with the total in the middle and the amount for each channel below.
- Top Selling Products: your best sellers in the range, ranked by quantity sold. Each row shows the product name, a date, the amount and Qty.
Daily Gross Sales and Total Sales add up the product amounts of each order, before shipping fees, additional fees and tax. That's why they can be lower than the Sales card for the same range.
A card shows No data available when there's nothing to show for the range.
Step 5: Export the figures
- Click Export CSV.
- Choose:
- Summary KPI (Total sales, orders & unfulfilled): one row each for Total Sales, Total Orders and Unfulfilled Orders, with the range.
- Full Report (Daily breakdown for [range]): one row per day with Date, Sales, Orders and the range.
Export CSV is greyed out when the sales figures couldn't be loaded.
Step 6: Add Website Traffic
- Click Add Reports.
- In Manage Reports, click + next to Website Traffic.
- If your Cookie Policy is off, you see Cookie Policy required (Turn on Cookie Policy in Design Settings to comply with privacy requirements before adding Website Traffic.). Click Go to Design Settings, switch it on, then try again.
- The Website Traffic cards appear under the sales charts. To remove them, open Add Reports again and click - next to Website Traffic.
Sales by Product Type, Sales by Product and Sales by Coupon are listed too, but they aren't available yet. Clicking them shows Get ready as we are creating more powerful reports.
Step 7: Read the Website Traffic cards
Each card has an info icon. Hover over it to see how the figure is counted.
| Card | What the info icon says |
|---|---|
| WEBSITE VISITORS (Total Visitors) | Counts visits, not pages viewed. Someone who browses five pages in one sitting counts once, and several tabs open at once still count once. A return after 30 minutes of inactivity, or from another device, counts again. "This Week" starts Monday; "Last 7 Days" is a rolling window. |
| TOTAL USERS | Total registered customers as of each day in the selected range. |
| NEW USERS | First-time visitors to your site within the selected period. The number shown is counted from the new customer accounts created on your store in the range |
| TRAFFIC BY SOURCE (Total Visitors by Source) | Where each visit came from, credited to the page the visitor arrived on. One visit counts once, no matter how many pages they browse afterwards, so this total matches Website Visitors for the same period. |
| MOST VISITED PRODUCT | The product page with the most views in the range, with its view count. Click the name to open the product on your store |
| MOST VISITED BLOG | The blog post with the most views in the range, with its view count |
Traffic by Source lists sources such as Facebook, Instagram, TikTok, X, WhatsApp, Viber, LinkedIn, Google, YouTube and Direct, from most visits to fewest, with a bar for each. Other means Website visits that could not be clearly classified into a named source like Facebook, Google, direct, or another recognized channel.
Click View on MOST VISITED PRODUCT or MOST VISITED BLOG to open Most Visited Pages. There you can filter by page type (All, Products, Blogs, Custom Pages, Store Pages) and date range, and see each page's Page Title, Page Path, Page Views, Sessions and Unique Visitors:
- Sessions: A session is one visit to your site. It ends after 30 minutes without activity, so a return after that counts as a new visit. Several tabs open at once still count as one visit.
- Unique Visitors: The number of different browsers that viewed this page, counted once per traffic source and per day. Someone who arrives from more than one source, or returns on another day, is counted more than once.
Step 8: Get alerts and scheduled reports
- Notifications: click the bell icon at the top of the dashboard to see your latest notifications, such as new orders. Click View All to see them all.
- Scheduled reports: ask Max AI to send you a summary of your orders, your leads, or both. For example: "Every morning at 9, summarize my orders and new leads" or "In 30 minutes, send me today's orders."
- Reports can repeat daily, weekly (on the days you choose) or monthly (on a day from the 1st to the 28th), or run once. A one-time report must be at least 5 minutes away. If you ask for a time that's too soon, Max moves it to the earliest time allowed and tells you.
- Each report covers today, yesterday, the last 7 days, the last 30 days or this month.
- Times are in Philippine time (Asia/Manila) unless you ask for another time zone.
- Each report arrives in your notifications (bell icon) and by email to the store owner's account email. Its title is Orders Summary, Leads Summary or Leads & Orders Summary.
- Click the report in your notifications to read the full figures. Click View Dashboard to open the Dashboard (or Orders or Contacts when the report covers only orders or only leads), or Close.
- Ask Max "What reports do I have scheduled?" to see them, or ask Max to cancel one.
Verify It Worked
Success criteria:
- The cards update when you pick a different range, and each card shows the range name (for example This Week).
- Export CSV downloads a file named
sales-summary-[date].csvorsales-full-report-[date].csv. - After adding Website Traffic, the WEBSITE VISITORS, TOTAL USERS, NEW USERS, TRAFFIC BY SOURCE, MOST VISITED PRODUCT and MOST VISITED BLOG cards appear.
- A scheduled report shows up in your notifications at the time you asked for.
Troubleshooting
Common errors
- "Couldn't load this figure. Refresh to try again.": the sales figures couldn't be loaded. Refresh the page.
- "Cookie Policy required": switch on the Cookie Policy in Design Settings before adding Website Traffic.
- "You already have 10 active scheduled reports. Cancel one before creating another.": ask Max to list your scheduled reports and cancel one you no longer need.
- The Sales card and the Total Sales chart show different amounts: Sales uses the full order total. Total Sales and Daily Gross Sales use the product amounts only.
- A team member can't see the Dashboard: they need Reports access. Without it, they're taken to the first area they can see.
Limitations & considerations
- Free stores can't open the Dashboard.
- Sales counts every order placed in the range, whether or not it's been paid. Unfulfilled Orders includes every order that isn't Completed.
- Shopee and Lazada lines appear in Daily Gross Sales only on Grow and Scale, while the shop is connected.
- Sales by Product Type, Sales by Product and Sales by Coupon aren't available yet.
- Scheduled reports cover orders and leads only, and are created, listed and cancelled by chatting with Max AI.
