Summary

Overview: The Balances page shows the money Prosperna has collected for your store's orders and is holding for you. It shows what you can withdraw now, what is still pending, your total earnings from completed orders, and every withdrawal you've made. You can search, filter by date and export your withdrawal history.

Prerequisites:

  • A Philippine store.
  • You are signed in as the store owner.

Step-by-Step Instructions

Step 1: Open Balances

  1. In the sidebar, click Finances, then Balances.

  2. Four cards appear at the top of the page:

    Card What it shows
Available Balance Money you can withdraw now. The Withdraw button is here. A minimum available balance of ₱250.00 is needed to start a withdrawal.
Pending Balance Money from paid orders that isn't available yet. Funds stay pending for about 3 days after the payment is confirmed, then move to Available Balance.
Lifetime Orders The total from orders whose payment is confirmed and whose funds have cleared.
Total Withdrawal History The total you've withdrawn so far.

Hover over the help icon next to a card name to see what it means.

Step 2: Know which payments appear here

Only payments that Prosperna collects for you are added to your balance. These include:

  • Cash on Delivery orders delivered by Prosperna's courier partners.
  • For stores that still use myPay: card, e-wallet and over-the-counter payments.

These payments are not added to your balance, because the money goes to you directly:

  • Payments made through your own Xendit account (see How to Connect Your Own Xendit Account).
  • Manual Payments (previously Direct Transfer) and Pay by Invoice payments.
  • Cash on Delivery with manual shipping, Cash on Pickup, and orders paid at the counter from your QR code menu.

An order is added only after its payment status is Paid.

The amount added for each order is what you earn from it. Payment processing and convenience fees are taken out first. If the order was delivered by a Prosperna courier partner, the shipping fee is taken out too.

Step 3: See your pending and cleared orders

  1. On the Pending Balance card, click View to see orders whose funds are still pending.
  2. On the Lifetime Orders card, click View to see orders whose funds have cleared.

Both tables show Order ID, Customer Name, Payment Type, Shipping Type, Amount and Payment Date. Click an Order ID to open the order. The Lifetime Orders table also has a Remarks column.

Shipping adjustments: if the final courier cost of a delivery was different from what was charged, the Lifetime Orders table shows an extra line for that order:

  • + amount, "Your available balance has been credited.": the customer overpaid for shipping, or the delivery cost less than charged.
  • − amount, "Your available balance has been debited.": an extra charge, usually to cover underpaid shipping.

Hover over the remark to see the full explanation. These adjustments change your Available Balance right away.

Step 4: View your withdrawal history

  1. Click the Available Balance card, or View on the Total Withdrawal History card.
  2. The table shows Transaction ID, Date Withdrawn, Expected Arrival, Withdrawal Amount, Bank Name, Account Number (partly hidden) and Status.
  3. A withdrawal's Status is Pending while it is being sent to your bank, then Completed or Failed.

Step 5: Search, filter and export

  • Search...: in the withdrawal history, search your withdrawals (for example by amount). In the order tables, search by order ID or remark.
  • Date:: choose a start and end date to show only that period. Click the x in the field to clear it.
  • Click a column heading to sort by it.
  • Display : choose 10, 25, 50 or 100 rows per page, and use the page numbers to move between pages.
  • Export (withdrawal history only): downloads the rows shown on the current page as a CSV file. To export more rows at once, set Display : to a higher number first.

Verify It Worked

Success criteria:

  • The four cards show peso amounts.
  • View on Pending Balance or Lifetime Orders lists the matching orders, or shows No Pending Orders / No Lifetime Orders if there are none.
  • The withdrawal history lists your withdrawals, or shows No Balance Available if you haven't withdrawn yet.

Troubleshooting

Common errors

  • I can't find Finances in the sidebar: only the store owner sees it, and only for Philippine stores. Sign in with the store owner account.
  • An order isn't in Pending Balance: check that its payment status is Paid and that it was paid with a method listed in Step 2. Payments that go straight to you are never added.
  • My Pending Balance hasn't moved to Available Balance: funds stay pending for about 3 days after the payment is confirmed (the card's help text says 3 business days). Check again later.
  • The Withdraw button is greyed out: your Available Balance is below ₱250.00.
  • Export downloads fewer rows than I expected: Export only saves the rows on the current page. Increase Display : and export again.

Limitations & considerations

  • Amounts are in Philippine pesos.
  • Export is only available for the withdrawal history, not for the pending or lifetime order tables.
  • If you connected your own Xendit account, see your payments and payouts in your Xendit dashboard instead.
  • You don't need to activate myPay to view or withdraw your balance.
