Summary

Overview: When and where you receive your money depends on how the customer paid. Most payment methods pay you directly: into your Xendit or Stripe account, into your own bank or e-wallet, or in cash. Only a few payments are collected by Prosperna. Those go to your Balances page, stay pending for about 3 days, and then you withdraw them to your bank.

Prerequisites:

  • A store on the Launch, Grow, Scale or free trial plan.
  • At least one payment method set up. See How to Set Up Payments for Your Store.

Step-by-Step Instructions

Step 1: Find where each payment goes

How the customer paid (at checkout) Where the money goes When you have it
Pay via Xendit (Prosperna Payments, Philippine stores) Your Xendit account Xendit pays out from your Xendit account on its own terms (see Step 3)
Xendit, when you've connected your own account (Xendit — Your Own Account in Settings → Payments) Your own Xendit account Same as above
Pay with Stripe (US stores) Your Stripe account Stripe deposits to your bank on its own terms (see Step 3)
Manual Payments (GCash, Maya, bank or another account you added) Straight into your own account As soon as the customer pays you. You check it and mark the order Paid
Pay by Invoice The account behind the payment link you attach Whenever your own payment gateway or account settles it
Cash on Delivery with Manual Shipping, Cash on Pickup, Pay at the Counter You collect the cash When the customer pays you
Cash on Delivery with Prosperna's courier partners (Philippine stores) Collected by Prosperna In Balances, about 3 days after the order is marked Paid (see Step 2)
Card, e-wallet or over-the-counter payments through myPay (older Philippine stores only) Collected by Prosperna In Balances, about 3 days after payment (see Step 2)

Step 2: Payments collected by Prosperna (Balances)

  1. The order is paid. For Cash on Delivery with J&T, the order becomes Paid when J&T marks it delivered.
  2. The money goes to Pending Balance. In the sidebar, click Finances, then Balances. The amount added is what you earn from the order: payment processing and convenience fees are taken out first and, for deliveries by Prosperna's courier partners, the shipping fee too.
  3. After about 3 days it moves to Available Balance. The card's help text says funds become available 3 business days after the payment is confirmed.
  4. You withdraw it. Click Withdraw on the Available Balance card:
    • You need an Available Balance of at least ₱250.00.
    • Each withdrawal has a ₱30.00 admin fee, taken from the amount you withdraw.
    • You can withdraw up to ₱50,000.00 per withdrawal and ₱50,000.00 in total per day.
  5. The money reaches your bank. The withdrawal shows Pending with an Expected Arrival date 3 days after you withdraw, then Completed (or Failed).

See How to View Your Balance and How to Withdraw Your Balance for each screen.

Step 3: Payments that go to your Xendit or Stripe account

  1. In the sidebar, click Settings, then Payments.
  2. Click Manage on the Xendit or Stripe card.
  3. Click Xendit Dashboard or Stripe Dashboard to open your account and see your payments and payouts.

You don't withdraw these payments from Prosperna: they are paid out from your Xendit or Stripe account. When and how Xendit or Stripe sends the money to your bank, and what they charge, is set by Xendit or Stripe, not Prosperna. For Stripe, the Stripe page in Prosperna notes: "Transaction Fees: Stripe charges 2.9% + 30¢ per successful transaction. Funds are deposited directly to your bank account."

Step 4: Payments that go straight to you

Manual Payments, Pay by Invoice and cash payments never pass through Prosperna:

  • Manual Payments: check your own account, then set the order's Payment Status to Paid. See How to Set Up Manual Payment Methods.
  • Pay by Invoice: the customer pays through the payment link you attach to the order. See How to Set Up Pay by Invoice.
  • Cash on Delivery (Manual Shipping) and Cash on Pickup: mark the order Paid once you have the cash. See How to Accept Cash Payments (Cash on Delivery and Cash on Pickup).

Verify It Worked

Success criteria:

  • For payments collected by Prosperna: the order appears under View on the Pending Balance card, then under Lifetime Orders once its funds clear, and the amount moves to Available Balance.
  • For Xendit and Stripe payments: the payment appears in your Xendit or Stripe dashboard.
  • For payments that go straight to you: the money is in your own account and the order shows Paid.

Troubleshooting

Common errors

  • An order isn't in my Pending Balance: check that its Payment Status is Paid and that it was paid with a method Prosperna collects (Step 1). Money paid straight to you, or to your own Xendit account, is never added.
  • My Pending Balance hasn't moved to Available Balance: funds stay pending for about 3 days after the payment is confirmed. Check again later.
  • The Withdraw button is greyed out: your Available Balance is below ₱250.00.
  • I can't find Finances in the sidebar: only the store owner of a Philippine store sees it. US stores are paid through Stripe and the other methods in Step 1.
  • A Xendit or Stripe payout is late: payouts from those accounts are handled by Xendit or Stripe. Check your Xendit or Stripe dashboard.

Limitations & considerations

  • Balances amounts are in Philippine pesos.
  • Prosperna doesn't control payout timing for Xendit, Stripe, your bank, your e-wallet or your own payment gateway.
  • Refunds to customers are made outside Prosperna. See How to Cancel or Refund an Order.
