Summary
Overview: Variants let you sell one product in different versions, for example a t-shirt in Small, Medium and Large and in Red or Blue. You create variant types (like Size and Colour) and their options (like Small or Red). Prosperna then builds every combination (like Small / Red) as a variant, and you set each one's price, stock, SKU, images, size and weight. Customers pick the options they want on the product page.
Prerequisites:
- A store on the Launch, Grow, Scale or Premium Trial plan.
- Store owner access, or a team member with Products access plus Variants Create access.
- A product you are adding or editing. See How to Add Your First Product.
Step-by-Step Instructions
Step 1: Turn on variants
- In the sidebar, click Products, then Inventory.
- Start a new product (Add Product → Add a Product ▶ → Physical Product), or open an existing one (⋯ → Edit).
- Scroll to Product Variants (or click Variants in the left menu).
- Click Enable Variants, or turn on the switch at the top right of the section.
When variants are on, the product's own Price, Multilocation Inventory and Size & Weight sections are hidden. You set those for each variant instead. Unpublish When Out of Stock is also switched off.
Step 2: Create your first variant type
Under Variant Configuration:
- Type a Variant Type Name, for example Size.
- Choose a Display Type, which controls how customers see the options:
- Text: options show as text labels.
- Color Swatch: options show as colour circles. Pick a colour for each option. Only one variant type per product can use Color Swatch.
- Image: options show as small images. Upload an image for each option with the upload button next to it. Available on Scale and Premium Trial only.
- Add the options. Type an option name in the empty box at the bottom of the list, then press Enter (or click outside the box). Repeat for each option. The label Options shows how many you've added out of your plan's maximum, for example Options 3/30.
- Drag options by the handle to reorder them. Click the × next to an option to remove it.
Step 3: Add more variant types (optional)
- Click Add Variant Type. The button only works once every existing variant type has a name and at least one option.
- A box warns: You are about to add a new variant type. Adding it will reset all variant combinations and permanently remove their existing data. Click Confirm.
- Name the new type and add its options as in Step 2.
Add all your variant types before you fill in prices and stock, because adding a type resets every combination.
Step 4: Fill in each variant
Once every variant type has at least one option, a table of combinations appears. Each row is one variant.
For each row:
| Column | What to enter |
|---|---|
| Image | Click the upload button to choose images from your Media Library. Launch: 1 image per variant. Grow: 3. Scale and Premium Trial: 5. |
| Name | The variant's name. It must be unique within the product. |
| Variant | Shows the options this row combines. You can't edit it. |
| SKU | Optional. Letters and numbers only, and different for each variant. |
| Quantity | Click Add Qty., set the stock for each store location in the Multilocation Inventory box, and click Update. New variants start with 1 unit at your default store location. |
| Dimensions | Length, width and height, with a unit. Required, and greater than zero. |
| Weight | Weight with a unit. Required, and greater than zero. |
| Price | Required, and greater than zero. |
| Sale Price | Optional. Must be lower than the variant's Price. |
| Unit Cost | Optional. Margin is calculated for you. |
| Availability | Turn off to stop customers choosing this combination. |
Edit many variants at once:
- Tick the rows you want to change (use Search... to find them).
- Click Bulk Edit. The Bulk Edit box shows how many items you selected.
- Enter the Pricing (Price, Sale Price, Unit Cost), Dimensions and Weight to apply, then click Save.
Step 5: Set the size display and minimum order (optional)
Below the table:
- Hide Product Size and Weight: hide the size and weight from the product page.
- Minimum Order Quantity: make customers buy at least 2 to 100 units. This minimum applies to every variant on the product page and at checkout.
Step 6: Save the product
- Click Save at the bottom of the form.
- You see Successfully created product. (new product) or Successfully updated product. (existing product).
Variant changes, including the stock you set with Add Qty., are only kept when you click Save.
Verify It Worked
Success criteria:
- You see Successfully created product. or Successfully updated product.
- When you open the product again (⋯ → Edit), Product Variants shows your variant types, options and the combination table with your prices and stock.
- On the published product page, customers can choose each option, and switched-off combinations can't be chosen.
Troubleshooting
Common errors
- "Variant type and option is required." when saving: add at least one variant type with at least one option, or turn variants off.
- "Please complete all the required fields." when saving: a variant row has a missing or invalid value. The form scrolls to Product Variants. Look for the red messages.
- "Variant type name is required." or "Variant type name already exist.": give each variant type a different name.
- "Please add at least one variant option.": the variant type has a name but no options.
- "Option name must be unique within this variant type": two options in the same type have the same name.
- "Option icon is required.": with the Image display type, every option needs an image.
- "Variant name is required." or "Variant name already exist.": give every variant row a unique Name.
- "SKU already exist.": two variants have the same SKU.
- "Price is required" / "Price must be greater than zero.": enter a price above zero for the variant.
- "Dimensions are required", "Dimensions must be greater than zero.", "Weight is required", "Weight must be greater than zero.": fill in the size and weight for the variant.
- "Sale price must be lower than regular price.": lower the variant's Sale Price.
- "Variant combination limit reached." when adding an option: the new option would create more combinations than your plan allows (see below).
- "Adding a new variant type would exceed your plan's combination limit.": reduce options before adding another type, or upgrade.
- "1 Variant image limit reached." (or 3 or 5): you've reached your plan's images per variant. Remove an image or upgrade.
- "Invalid SKU format for variant combination…": use letters and numbers only in the variant's SKU.
- "Image display type for variant options is available for SCALE plans only." when you click Image: the Image display type needs the Scale plan (or the Premium Trial). Use Text or Color Swatch, or upgrade.
- Color Swatch is greyed out: another variant type on this product already uses Color Swatch.
Limitations & considerations
| Limit | Launch | Grow | Scale | Premium Trial |
|---|---|---|---|---|
| Variant types per product | 3 | 4 | 6 | 6 |
| Options per variant type | 30 | 40 | 50 | 50 |
| Variant combinations per product | 100 | 120 | 150 | 100 |
| Images per variant | 1 | 3 | 5 | 5 |
| Image display type | No | No | Yes | Yes |
- The number of combinations is the number of options in each type multiplied together. For example, 5 sizes x 4 colours = 20 combinations.
- Deleting a variant type or option that already has details asks you to click Confirm, and removes all combinations that use it. This can't be undone.
- Adding a variant type resets all combinations and removes their prices, stock and other details.
- If you've connected Lazada, variant types and combinations aren't included when you publish the product to Lazada.
